Dispatch Officer - Campus Safety

Job Summary: The Dispatch Officer operates the Campus Safety dispatch desk during scheduled hours. They answer and maintain a log of all incoming and outgoing radio traffic among officers and handle walk-in traffic with various needs. This position is responsible for answering and responding to all incoming calls to the Campus Safety Department promptly and professionally, giving instructions to callers, and sending a Patrol Officer to handle issues when appropriate or transferring calls as needed. The Dispatch Officer monitors several alarm systems, such as fire, panic, and weather-related alarms.

Duties and Responsibilities:
  • Learns and adheres to the policies and procedures of Southern Adventist University.
  • Learns and adheres to the Campus Safety Department's policies and procedures and assists with updating them as necessary.
  • Monitors fire alarm systems (FireWorks), card access systems (Cardkey, SALTO), emergency services radios, and weather radar/radio systems.
  • Processes the weekly court docket.
  • Documents and responds to emergencies, including fire alarms, panic alarms, severe weather events, campus-wide incidents, door alarms, and medical emergencies.
  • Documents and responds to incidents. Notifies the appropriate parties, including the supervisor, police department, emergency authorities, parties involved, risk management, and others, as requested.
  • Learns Vehicle and Traffic Regulations. Assists in parking management, including processing parking permit requests, permit charges, and citation management.
  • Processes items for Lost & Found.
  • Maintains records management software logs of all phone calls, events, supervisor, and patrol activities and assists with maintaining system updates and/or technical issues.
  • Assists the Office Manager as needed/directed.
  • Performs all other reasonable business-related functions as assigned.
Special Requirements: Have an expressed commitment to Jesus Christ, the teachings and mission of the Seventh-day Adventist Church, and be an SDA church member in good and regular standing.

Qualifications: Be 18 years of age or older. Minimum of two years of administrative or office support experience. Ability to handle difficult interpersonal situations in an acceptable manner. Ability to respond to, address, and process multiple tasks simultaneously in a fast-paced environment, including high-stress and potentially urgent matters. Leadership skills and experience required. Good communication and customer service skills are a must. Multi-tasking skills required.
To be successful in this position, one must be a self-starter and able to work without supervision; one must possess good organizational skills, attention to detail, excellent time management, and good cause-and-effect reasoning and decision-making skills. Must be responsible, dependable, and a team player. Willing to work some weekends and holiday hours. Must present a professional demeanor, display a spirit of helpfulness, work well with others, and maintain high confidentiality. One must desire to grow professionally, including a willingness to learn new systems and procedures. Be able to type at a minimum of 60wpm. Experience with Microsoft Word, Excel, and Outlook and learning new programs quickly are required. Being able to read, write, and speak English fluently is required.

Typical Physical Demands: This position requires sitting, standing, bending, and reaching. It may require sitting for long periods of time and lifting 20 to 30 pounds. Manual dexterity is required to operate standard office machines such as computers, phones, fax machines, calculators, registers, and two-way radios. Excellent hearing and vision are also required.

Working Conditions: Essential tasks are performed under normal office/school conditions with little or no noticeable discomfort. The work area is well-lit and ventilated.

Shift/Schedule: 1st shift Monday through Friday 8am to 4:30pm.  Some weekends, holidays, and other shifts as required.
