Hours: Full-Time, Hourly
Pay: $22.11 - $28.44
Job Summary: Manages the overall office operations; required record keeping; reports for payroll; work order and inventory management; and oversight of the purchasing office, procurement of materials and parts cage.
Duties and Responsibilities
- Processes and codes all invoices and communicates in a timely manner with Accounting
- Reviews, codes and posts all credit card charges monthly
- Maintains records for an average volume of 500 work orders per month, including communication to external customers as needed
- Oversees requisition and inventory management systems (Taskmaster and Inflow)
- Manages Plant Services purchasing office and directly supervises the Purchasing Coordinator and Assistant Purchasing Coordinator
- Approves weekly timecards for hourly employees and students, calculates weekly on-call pay and submits to Payroll in a timely manner
- Tracks and records employee hours per project for productivity purposes
- Tracks utility expenditure across campus and communicates to Accounting and Housing for rebilling purposes to leaseholds, student housing, employee housing, etc.
- Manages all files and records for Plant Service including but not limited to the following:
- General Contractor licenses for current employees making sure they are up to date
- On-campus building permits
- Sub-contractor licensure and proof of insurance including workers compensation if applicable
- Various permits: Boiler room, elevator, etc. for inspection if requested
- Keeps forms, schedules, calendars, spreadsheets, etc. up to date
- Manages petty cash fund and personal charges
- Provides office support duties for the Plant Service Directors
- Manages keys required for campus and housing repairs
- Communicates with staff to resolve emergencies
- Performs all other reasonably business-related functions as assigned
Special Requirements: Must have an expressed commitment to Jesus Christ, the teachings and mission of the Seventh-day Adventist Church, and be a SDA church member in good and regular standing. Must be able to be a positive representative of Southern Adventist University to the vendors and the public.
Qualifications: General office managerial skills including proficiency in Microsoft Office. Must be able to read, write, and speak English fluently. Must hold a valid U.S. driver’s license with reasonable driving record.
Education and Experience: Minimum of two-year degree in office management or related field and at least five years of office experience.
Physical Demands: Requires sitting, standing, bending, and reaching and may require lifting up to 40 pounds.
Skills and Aptitudes: Ability to be pleasant under pressure and deal with complaints professionally. Be sensitive regarding confidential issues and incidents. Interpersonal relationship skills essential, with ability to work with employees in a way that promotes team spirit, and the ability to interact appropriately with campus personnel. Have safety-consciousness and able to promote it within the work force. Must use care with tools and equipment.
Working Conditions: Essential tasks are performed under normal office/school conditions with little or no noticeable discomfort. Work area is well lighted and ventilated. May be contacted after normal business hours, on weekends, or holidays for work needs.
