Floor Supervisor (Part-Time) - Village Market

Hours: Part-Time, Hourly (27 hours/week)
Pay: $18.73 - $25.06

Job Function:
Primary responsibilities include efficiently supervising and working with the Grocery & Housekeeping Associate (GHA) and Closer with training and delegating various tasks; to work with the GHA and Closer in supervising all student Grocery staff and tasks in all aspects of the product stocking process, including staging, stocking, merchandise rotation, date management, shelf blocking and product facing, and to do so in a manner that improves the store’s appearance and enhances the customer experience; to work with the GHA and Closer in supervising all student Housekeeping staff and verify duties are being performed according to store policy; to keep track of store hardware and equipment and to inform management of any potential repairs and/or replacements the store needs; to supervise and perform the responsibilities of opening and closing the store when scheduled; to effectively be the manager-on-duty (MOD) and direct and monitor store operations when the Assistant Store Manager and the Store Manager are absent.

Duties and Responsibilities:
The essential duties and responsibilities of this position include, but are not limited to, the following:

General
  1. Observe and enforce all store rules and university policies;
  2. Maintain a neat, well-groomed personal appearance at all times and enforce store dress code and grooming standards throughout the evening shift;
  3. Observe shift operating hours at all times as scheduled or assigned by management and ensure that all department personnel do likewise;
  4. Be able to multi-task well, especially in fast-paced environments/situations;
  5. Adhere to all local, state, and federal health and civil code regulations throughout the store;
  6. Supervise, train, work alongside and delegate tasks to the GHA, Closer, and the Grocery and Housekeeping student employees;
  7. Be the main supervisor of all receiving calls and unloading of merchandise from all vendors:
    1. Ensure that all items are accurately received and every respective invoice reflects all SKUs and quantities listed
    2. Ensure accurate billing and pricing
    3. Routinely check product to confirm quality, count and condition
    4. Enforce receiving procedure according to company policy
    5. Inform respective department heads of receiving errors related to product
  8. Handle damaged merchandise according to company policy;
  9. Ensure that all evening employees comply with safety policies and procedures;
  10. Professionally handle customer complaints and provide them with satisfaction when possible;
  11. Ensure favorable store image to customers by maintaining a clean and well-maintained store;
  12. Maintain good communication with all employees;
  13. Greet customers and provide them with prompt and courteous service;
  14. Perform other duties and assignments as directed.
Bookkeeping
  1. Maintain, safeguard and forward all department-related accounting reports and documents to each respective department head, as well as the store manager when needed, in a timely manner according to company policies and procedures;
  2. When assigned, review and commit invoices, credit memos and inventory adjustment documents, in a management-defined timely manner, to confirm accuracy of item descriptions, sizes, quantities and margins.
    1. A strong knowledge of using current Windows-based PCs is key to understanding and using the front and back-end point-of-sale system, and will determine how fast and efficient one can perform the above-mentioned bookkeeping duties (see “Other Skills or Requirements” on Page 4).
Merchandising
  1. Conduct a daily store walkthrough to determine needs, and to verify that items are in stock, in sufficient quantity and displayed in such a way as to maximize sales;
  2. Work alongside all Grocery department student workers and physically stock, front and block products, and ensure refrigerated and frozen coolers, store shelves and other displays are fully stocked and faced at all times according to department standards;
  3. Keep merchandise rotated in accordance with store policy and product code dates, and to pull all out-of-date merchandise, and to inform the other department heads of any situations within their respective departments that need attention;
  4. Block/front aisles in store to keep it attractive and professionally organized;
  5. Ensure approved procedures are followed for receiving product, price marking and restocking to ensure quality protection and product rotation;
  6. Ensure maximum efficiency by monitoring personnel to effectively use employee hours, cutting when necessary or using idle employees in other departments where needed to optimize evening operation.
Maintenance and Safety
  1. Work with the GHA and Closer to supervise and work alongside all Housekeeping personnel to maintain cleanliness in all areas (sales floor, backstock and receiving, front offices, restrooms, foyer, front of store, outside sidewalk and eating areas);
  2. Make periodic inspections of the physical conditions of floor areas during business hours;
  3. Promptly respond to emergencies or potential safety hazards such as spills, broken glass or plastic containers that contain liquid products;
  4. Correctly fill-out accident forms for Grocery and Housekeeping student employees, or any other student employees if their direct supervisors are not present, or non-student employees in the absence of the Assistant Store Manager and Store Manager;
  5. Check refrigeration equipment for proper performance at regular intervals during business hours;
  6. Ensure that all equipment used in the departments are maintained in good working order, and inform management if any equipment needs attention.
Security
  1. Ensure that receiving, opening and closing policies and procedures are complied with to protect employees and assets;
  2. Observe security standards by staying alert and being aware of customer actions and behavior;
  3. Notify management or security and call attention to any abnormal behavior noted;
  4. Maintain effective security standards and procedures for all areas within the store.

Personnel
  1. Supervise and work alongside all student Grocery and Housekeeping department personnel to perform assignments while maintaining effective employee relations;
  2. Create and post all Grocery and Housekeeping student schedules in a timely manner;
  3. Maintain high standards of employee morale and promote an atmosphere of friendliness, encouragement and cooperation;
  4. Lead student employees by setting the standard for having a friendly and professional attitude, and completing department tasks and that they follow store and SAU policies;
  5. When needed, be able to effectively discipline departmental student employees in a professional, encouraging and compassionate manner so that students are given clear instruction and the tools needed to correct potential behavior and/or task-related issues.
Requirements and Conditions (Essential Functions):

Education and/or Experience:
  1. Minimum educational requirement is a high school diploma or GED. A college background is preferred.
  2. Minimum 2 years of retail experience is required, specifically with merchandising and/or inventory management.
  3. A strong personnel supervisory skillset is preferred. If no prior experience, there will be the expectation that it will be learned and used well in a timely manner.
Mathematical Skills:
  1. Must possess the math skills necessary to verify vendor invoice charges and counts, calculate gross margins, percentages and losses, analyze inventory reports within a timely manner.
Language Skills:
  1. Ability to hear, speak, and understand the spoken word in order to respond promptly to pages for assistance, to accommodate verbal requests from customers for information or assistance, to make and answer telephones and to be able to communicate effectively with customers, store employees, visitors, vendors and sales representatives;
  2. Ability to read, write, analyze, interpret and understand the English language with sufficient proficiency in order to:
  • read and understand company handbooks, policies and procedures;
  • be able to compose and write information notices or bulletins to staff;
  • read and understand other written job-related documents including postings on company bulletin boards;
  • Ability to compose and write reports and business correspondence including effective departmental memos, employee corrective action notices and postings.
Reasoning Ability:
  1. Ability to solve practical problems and deal with a variety of concrete variables in circumstances where only limited standardization may exist;
  2. Ability to interpret a variety of instructions furnished in diagram, oral, schedule or written form.
Other Skills or Requirements:
  1. Must be able to quickly learn and follow the operations and nature of all departmental duties;
    • A new employee should be able to effectively perform all departmental duties to a minimum degree within the first 90 days of employment
  2. Be able to perform, as well as, supervise all duties and responsibilities in an efficient and satisfactory manner that meets the minimum standards for productivity, accuracy, cleanliness, harmony and safety established in the store;
  3. Strong computer skills are required including, but not limited to the understanding and usage of current Microsoft Windows operating systems and basic Windows applications (Calculator, Notepad, File Explorer etc.), Microsoft Office (Word, Excel, Outlook etc.), internet browsers (Chrome, Firefox, Edge etc.);
  4. Must be able to type a minimum 35 words per minute including a 90% average accuracy level using a QWERTY keyboard;
  5. Must have the confidence to and be able to quickly and effectively learn the in-house point-of-sale system (both back-end and cashier terminals).
    1. A new employee should be able to effectively perform all cashier terminal functions without constant assistance within 12 hours of timely, collective training.
    2. A new employee should be able to effectively perform all back-end point-of-sale functions, related to their responsibilities, without constant assistance within 8 hours of timely, collective training.
Physical Requirements:

  1. Must be able to lift and carry at least 50lbs or more with relative ease;
  2. While performing the duties of this job, the employee is regularly required to stand, walk, sit and use the hands to handle, finger or feel objects, tools or controls;
  3. The employee must frequently walk, talk or hear, and reach with the hands and arms and occasionally, the employee must crouch or kneel;
  4. Successful performance requires specific vision abilities that include close vision and the ability to adjust focus including sufficient visual acuity to check accounting reports, invoices, contracts and other written documents;
  5. Be able to climb a ladder to retrieve inaccessible items for customers located above freezer cases or from stockrooms and other storage areas;
  6. Have sufficient physical mobility or agility to be able to respond to fire or other emergencies such as cleanup requests (due to accidental spills or breakage of containers having liquid contents), shoplifting and other security assistance requests, customer accidents, etc;
  7. Be able to perform all duties and responsibilities in a quick, efficient and satisfactory manner that meets the minimum standards for volume, productivity, accuracy, cleanliness, harmony, safety and profitability established by the employer;

Work Environment:
The work environment conditions described below are representative of those an employee encounters while performing the essential functions of this job. It may possible to modify some circumstances to accommodate individuals with disabilities;
  1. The work environment includes occasional exposure to, in or around refrigerated and frozen storage areas and relatively damp and humid conditions;
  2. Typically, the noise level in the work environment is moderate, however, on occasion, it can be somewhat noisy when power tools and equipment are in use or when duties require a temporary presence in the compressor area;
  3. Access to break areas, storage areas, offices and employee restrooms requires ascending and descending a flight of stairs.
