Office Manager - Transportation Services

Pay: $17.17 - $23.29

Job Summary:  The office manager serves as the office contact for transportation activities including managing student workers and transporting personnel. Overseeing the scheduling of all vehicle rentals of Southern Adventist University Vehicles. Manages all the office functions involved in the day to day business.

Duties and Responsibilities:
  1. Perform general clerical duties such as, but not limited to: answering phones, typing, filing, copying correspondences, data entry, running errands, etc.
  2. Provide departmental billing for Transportation charges.
  3. Provides billing for personal use of vehicles or parts purchased for non-university owed vehicles.
  4. Process parts invoices & maintain petty cash drawer, make deposits of paid invoices.
  5. Manage fuel system for university vehicles and equipment.
  6. Keep up with university vehicle tag renewals and insurance.
  7. Oversee fleet coordinators responsibilities.
  8. Enter bus driver’s time and complete Per Diem sheets & trip receipts.
  9. Oversee time card punches of employees & weekly time approval.
  10. Keep up proper files & create bill of sales for University vehicles and SOMCO motors.
  11. Match credit card charge receipts with statements & approve monthly credit card charges for Transportation employees.
  12. Manage the running of MVR requests & approval Process.
  13. Perform all other reasonable business-related functions as assigned by director.
  14. Oversee the operations of the website and update as needed.
  15. Schedule transports for students as needed for medical and home leaves.
Special Requirements:  An expressed commitment to Jesus Christ, the teachings and mission of the Seventh-day Adventist Church, a SDA church member in good and regular standing.
Employee must have the desire to grow with Transportation Services and the University.
May be necessary to come in after hours to prep vehicles and check-out for use. In this position it may be necessary to go out of town, for training purposes.

Qualifications: A minimum of 2-3 years office experience. Management skills to oversee office personnel & student workers. Prior customer service. Working knowledge of Microsoft Office Excel with ability to create and maintain spreadsheets as needed. Also needs to have a working knowledge of Microsoft Office Word with ability to create professional letters and mailers. Needs to be a self-starter and able to work without supervision and must possess good organizational skills. Must have a desire to grow professionally, with a willingness to learn new systems and procedures. Must be able to read, write, and speak English fluently. Working knowledge of vehicle maintenance and parts is helpful.

Education:  High school diploma. Some college preferred.

Typical Physical Demands: Requires sitting, standing, bending, and reaching. May require lifting up to 30 pounds. Requires manual dexterity sufficient to operate standard office machines such as computers, fax machines, calculators, and telephone. Requires normal range of hearing and vision.

Working Conditions: Essential tasks are performed under normal office/school conditions with little or no noticeable discomfort. Work area is well lighted and ventilated. Low fumes may be noticeable at times.
Skills and Aptitudes: Interpersonal relationship skills essential with ability to work with other employees in a team spirit, the ability to interact appropriately with personnel (faculty and students) on job sites as required.
