Location: Guest Servies, Community Events, and Lodging
Hours: Part-Time, Hourly (Less than 20 hours per week)
Pay Range: $17.17 - $23.29
Job Summary: The Guest Services and Lodging Coordinator provides clerical work of a complex nature that supports Guest Services and Lodging, with responsibility for event help and billing, as well as lodging coordination while open. The coordinator is expected to implement gracious hospitality in serving clients. Primary clients include, but are not limited to, event booking clients, prospective students and their families, parents of current students, campus speakers, guests of university departments, etc. Flexibility toward schedule may be required for certain events. Vacation days are coordinated closely with the Associate Director.
Hours: This job has unique hours. It is only 3-10 hours a week during the school year, depending on the workload. During the summer, it is 20 hours a week from the beginning of May-August 1st.
Duties and Responsibilities:
1. Provide gracious hospitality in accordance with Southern’s service standards during interactions with external and internal clients.
2. Manage scheduling to keep guest lodging as full as possible during periods when it is open.
3. Serve as the customer service agent who efficiently and effectively resolves the concerns of clients and exceeds the expectations of those using Guest Services and Lodging.
4. Responsible for managing all incoming inquiries to Guest Services and Lodging.
5. Responsible for managing purchases and inventory of furnishings, linens, kitchenware, event items, etc.
6. Supervise student workers when the department has them.
7. Manage check-in and check-out process for guests, including entry into the lodging and event spaces.
8. Manage and maintain the reservation system used for guest lodging when open.
9. Coordinate cleaning and reset of lodging with housekeeping staff when open. May include cleaning an apartment on occasion if we are short staffed.
10. Provide support for Guest Services and Advancement as needed and assigned.
11. Process all billing for guests and ensure payments have been made.
12. Responsible for resolving any billing issues that occur.
13. Maintain accurate financial records of the department and formulate financial reports as requested by management.
14. Analyze the department's financial records to ensure expected profitability goals will be met.
15. Reconcile the Guest Services and Lodging financial records with those reported by Accounting.
16. Perform all other reasonable business-related functions as assigned.
17. Assist with community events as needed.
18. Help manage our Airbnb presence.
19. Perform sundry Advancement tasks as needed.
Qualifications: Candidate should possess excellent organizational and communication skills; provide superior customer service and maintain a good working relationship with campus colleagues; exhibit knowledge of data entry and word processing skills; be a self-starter; and have a desire to grow professionally, including a willingness to learn new systems and procedures.
Education: Baccalaureate degree preferred; Associate degree accepted, High School diploma with relevant experience considered.
Experience: Candidate should have experience in performing clerical and financial duties and effectively communicating and networking with individuals. Experience in the hospitality industry preferred.

Typical Physical Demands: Requires sitting, standing, bending, and reaching. It may require lifting up to 25 pounds. Requires manual dexterity sufficient to operate standard office machines such as computers, printers, scanners, calculators, and telephones. Requires a normal range of hearing and vision.
Working Conditions: Essential tasks are performed under normal office/school conditions with little or no noticeable discomfort. The work area is well lit and ventilated. Responsibilities may require attendance at events and/or on-call time outside of standard office hours.
